The medical metaphor
Hospital monitors don’t show you a spreadsheet of patient vitals. They show you a heartbeat. The waveform tells you everything at a glance: steady green means healthy, fast amber means deteriorating, flat red means critical.
We applied the same principle to document registers. Every controlled document in your organisation has a lifecycle — creation, review, approval, publication, scheduled review, expiry. That lifecycle has a pulse.
Four health states
Document Pulse classifies every document into one of four states:
- Healthy (green, steady pulse) — published, next review date is more than 30 days away
- Approaching (amber, faster pulse) — review date within 30 days
- Flatlined (red, tremor trace) — overdue for review or expired
- In Review (cyan, rhythmic pulse) — currently under review or pending approval
The ECG trace for each state has a distinct waveform. The flatlined trace isn’t just a straight line — it has a subtle tremor, like a document fighting to stay relevant.
The composite trace
At the organisation level, Document Pulse renders a composite heartbeat that represents the overall health of your entire document register. A healthy organisation shows a steady green trace. One with mounting overdue documents shows the trace degrading in real time.
Each department gets its own mini ECG in a collapsible card. Expand it to see individual documents, their status, and their next review date. The visual hierarchy means a compliance manager can assess the entire organisation in seconds, then drill into the department that needs attention.
Why it works
The ECG metaphor works because it creates emotional resonance. A number is abstract. A flatlined heartbeat is urgent. When we showed Document Pulse to compliance officers for the first time, the reaction was immediate: “I can feel which departments are in trouble.”
